Job Description

This posting is for one full-time temporary position up to 2 years.


Reporting to the Director, Financial and Strategic Services, this position is responsible for providing leadership and coordination for the day-to-day operation of the director’s office. This role provides senior administrative support by coordinating department assignments and requests, reviewing and assessing correspondence, compiling and summarizing background information, and providing functional leadership to the administrative team within the department. 


This Director’s Assistant liaises with all levels of the organization to ensure that the department meets corporate and departmental expectations, timelines, procedures, and guidelines regarding communications and paperwork, in a well-organized, effective, and responsive approach. 


This role may be eligible to participate in our hybrid work program.  The successful candidate will be required to reside within 2 hours of Sherwood Park, Alberta. 


Responsibilities:


  • Manage the director’s schedule and email correspondence including coordinating meetings, preparing materials and logistics, prioritizing and organizing messages, and ensuring timely responses to support seamless workflow and decision-making
  • Monitoring the timing of upcoming deadlines to ensure time is well organized and efficiently used
  • Draft and review various forms of correspondence, including emails, letters, and memos, ensuring clarity, accuracy and adherence to company standards and policies
  • Liaise with senior administration and executive assistants to coordinate council reports, executive team and senior leadership team issue briefs
  • Coordinate department administration including department meetings, leadership team meetings and events or initiatives 
  • Review council meeting agendas, minutes, action sheets and outstanding councillor inquiries to ensure action items related to the department are handled promptly and in accordance with corporate and division guidelines
  • Lead department administrative team meetings and projects including the planning, researching and organizing
  • Provide administrative support for department budget and financial reporting
  • Provide leadership, advice, mentorship, and support to ensure the administrative team is meeting the department’s needs and expectations


Qualifications and Skills:


  • Office administration diploma/certificate from an accredited program with a minimum of five (5) years of related experience in a similar administrative capacity supporting manager, director, or executive level
  • High level of organizational and administrative skills with the ability to recognize and deal with matters of a confidential nature in a discrete and professional manner
  • Demonstrates excellent initiative and personal judgement to provide effective and proactive support
  • Ability to multi-task and adapt to changing priorities while working under pressure to meet deadlines  
  • Extensive knowledge of relevant computer programs such as Share Point, Microsoft O365 suite, eScribe and Adobe
  • Excellent verbal and written communication skills with strong customer service when dealing with client groups, co-workers, the public, elected officials, and senior management
  • Strong organizational skills and the ability to work independently and multi-task effectively, with frequent interruptions and requests from a variety of sources 
  • Sound leadership skills to motivate and direct staff while maintaining a professionalism  
  • Ability to develop thorough knowledge of Strathcona County protocols and a strong understanding of corporate and division policies, procedures, and organizational structure
