Job Description

Strathcona County is currently building a new Agricultural Event Centre named “The Pointe”. While this facility was primarily designed to accommodate agricultural events (horse/cattle/dog shows, etc.), it can also host all types of events (trade shows, markets, concerts, etc).

 


This exciting position is responsible for providing front-line customer service, managing day-to-day scheduling, and coordinating with the Programs and Events Supervisor for rental bookings and special events. This role ensures booking policies and procedures are followed, provides accurate information to facility users, and keeps schedules up-to-date across various platforms. With a focus on delivering excellent customer service, the Booking Representative builds relationships with staff and guests and supports programming that fosters community connection and facility use.


 


Responsibilities:


  • Administer facility booking licenses in line with guidelines and agreements; manage client communication, quotes, bookings, and follow up on contracts, deposits, and payments.
  • Ensure accurate payment processing, outstanding balances, and apply cancellation/no-show penalties while maintaining high service standards.
  • Demonstrate strong administrative skills, teamwork, and a customer-focused approach, addressing inquiries and handling challenging situations professionally.
  • Maximize facility rentals and utilization by researching trends, prospecting new customers, and identifying opportunities for programming with industry groups, schools, and Strathcona County teams.
  • Foster new partnerships and collaborate with Strathcona County programming teams to develop, schedule, and facilitate clinics, workshops, and programming within facility allocation guidelines.
  • Assist the Programs and Events Supervisor with event planning, logistics, checklist development, and staffing, ensuring coordination of schedules and on-site support during events.
  • Supervise and coordinate event staff, assign roles, provide support, train hourly staff, and attend pre-event meetings with organizers to ensure smooth execution and safety compliance.
  • Manage and update The Pointe’s live schedule across all platforms, coordinating with the Leadership Team to optimize facility usage, maximize revenue, and ensure compliance and relevance of all displayed information.
  • Assist the Facility Supervisor in team leadership, guest service problem-solving, and supervising staff across all work areas, contributing to meetings, staff training, and business planning processes.
  • Educate staff on The Pointe’s programming updates, guest needs, and facility initiatives, while coaching and mentoring to create a positive work culture.
  • Serve as primary host during peak times, managing guest requirements, registrations, and customer service; provide AV/technical support, assist with meeting space configurations, address building concerns, and support document archiving as needed.

     


Qualifications and Skills


  • High School Diploma, two years of post-secondary education in agriculture, recreation administration, or a related field, and one year of related experience required; knowledge of office practices and agricultural events preferred.
  • Knowledge of Microsoft Office (Excel, Word, SharePoint, Outlook) 
  • Strong written and verbal communication skills, attention to detail, and experience in event planning.
  • Passion for customer service with the ability to build relationships and work effectively in a dynamic, fast-paced team environment.
  • Experience supervising and mentoring staff, while working in a team environment.

     


Conditions of Employment:


  • Submission of a Satisfactory Criminal Record Check  
  • Relevant safety training and/or certification (First Aid/CPR, etc.); training may be provided
  • Ability to perform physical labour as part of the job duties and stand/walk for extended periods of time  
  • Requires the ability to work evenings, weekends, and statutory holidays as required
