Job Description

The Municipal Police Assistant provides daily administrative and operational support to the RCMP members by operating, inputting, extracting, maintaining and organizing a variety of information through a variety of policing software programs (CPIC, PROS, JOIN and ROADS), as well as helps process information to prepare court disclosure packages. 

Key Responsibilities:

  • Prepare and collate all Criminal, Provincial and Federal charges for court briefs
  • Prepare judicial documentation (Subpoenas, Summons and Information) via computerized systems (Justice Online Information Network)
  • Create and author various documents that assist RCMP Members in clerical responsibility (Memorandum, Letters of additional disclosure)
  • Enter, manage and update RCMP witnesses within JOIN and PROS
  • Act as the System Administrator and prime authorized operator and facilitator for the Justice Online Information Network (JOIN)
  • Create formats for documentation storage and editing
  • Create court folders, link tasks and upload transcribed statements into the Police Reporting Occurrence System (PROS)
  • Scan court release documents and ensure all linkages are made within the Police Reporting Occurrence System (PROS)
  • General office support, documentation of information, filing, faxing, photocopying, scanning documents into Police Reporting Occurrence System (PROS)
  • Correlate large volumes of documentation into organized packages, ensuring all available information is included

 

Qualifications and Skills:

  • High School Diploma and 3 years of related work experience, preferably in a policing environment
  • Police Reporting Occurrence System (PROS) – Record Management level
  • Working knowledge of RCMP and County policies, procedures, Criminal Code, federal and provincial statutes, municipal bylaws and court documents
  • Strong understanding of the Criminal Code of Canada and other Federal Statues that are enforced with the ability to interpret the information so that it can be entered within the Justice Online Information Network (JOIN)
  • Strong organizational and time management skills due to the large volumes of documentation requirements and meeting extremely tight deadlines (due to fresh arrests, search warrants, short notice court packages)
  • Ability to maintain a professional and positive image with good interpersonal, written and verbal communication skills
  • Strong attention to detail 
  • Strong analytical skills with the ability to think and act quickly in stressful situations
  • Ability to remain objective and diplomatic, exercise mature judgement and maintain the highest level of confidentiality
  • Proficient using RCMP and County Software and equipment including PROS, CPIC, ROADS, JOIN/JOIN 2.0, CIIDS, ROSS, CReF, APIS, WatchGuard, ORCA, LiquidFiles and Report Exec
  • Strong understanding of the Source Witness Programs ensuring policy and procedures are followed to minimize any liability

 

Conditions of Employment:

  • Ability to obtain an RCMP Enhanced Reliability Security Clearance
  • Ability to handle being exposed to a variety of graphically disturbing violent materials that require an individual to process the information for distribution to various agencies. This position must be able to transcribe this type of material verbatim (100% accuracy) as the finished product is utilized with court proceedings. Any inaccuracies could impact negatively upon the matters before the courts, which has a high level of liability placed upon it.
