Job Description

This posting is for one temporary full-time position up to 2 years


Join our Legislative, Legal and Procurement department as an Administrative Assistant!  This position provides administrative support to the Manager, is the first line of contact for both contract and delegation inquiries from all Strathcona County staff and is a liaison between contracting departments and the Legislative Services and Contract Management branch.


Key Responsibilities: 


  • Provide general administrative support to the Manager including scheduling meetings and training sessions, preparing materials and logistics, prioritizing and organizing messages, and ensuring timely responses to support seamless workflow and decision-making
  • Draft correspondence to the Executive Team and Directors detailing contract management or Delegation of Authority updates
  • Perform the duties of the branch forms representative including updating existing forms and creating new ones
  • As owner of the branch’s SharePoint libraries, oversee its members and access 
  • First point of contact for inquiries relating to the corporate contract repository
  • Liaison between departments to resolve contract repository issues 
  • Manage contract management e-mail and flag inquiries for follow up 
  • Create contract numbers for paper agreements and comply with the Digitization of Physical Records Procedure.
  • Conduct regular audits on the contract repository to ensure source of truth on all contracts is maintained in accordance with directives and procedures
  • As Office of Primary Responsibility, ensure the secure retention of contracts, adhering to retention guidelines
  • Manage delegations e-mail and flag inquiries, draft revisions, and maintain all signed forms
  • Provide back-up support to the department’s Legal Assistant when required
  • Provide support to the Legislative Services Project Manager including booking voting stations and updating election and census content on the intranet and external website


Qualifications & Skills


  • Post secondary diploma in office administration, legal assistant or a related field is preferred along with 5 years experience
  • Progressively responsible administrative experience, preferably within a municipal government or legal office setting
  • Ability to work under pressure in a political environment; and deal with confidential matters in a discreet and professional manner
  • Excellent computer skills in a Microsoft Office environment with experience and strong working knowledge of SharePoint 
  • Excellent communication skills, time management and organizational skills
  • Ability to take initiative, use sound judgement, and problem solve
  • Well developed research skills are an asset
  • Ability to work independently and as part of a team
  • Flexibility to cover some responsibilities of other desks within the department, when required.
